- Purpose of This Notice
This Privacy Notice explains how personal data is collected, used, and shared in relation to Age Friendly: Live Better (the ‘Project’). The Project is delivered by Lead Organisation acting as the lead and supported by the Partner Organisations.
Both the Lead Organisation and the Partner Organisations will be responsible for coordinating data collection and the Lead Organisation will be responsible for reporting to the Council. As both Lead and Partner organisations are collecting data to achieve the same purposes and have agreed as to how collection and processing occur they will be ‘joint’ data controllers.
The Project has been funded by the Council’s Public Health Prevention Investment Programme (PHIP).

The Lead and Partner Organisations may collect the following types of personal data about residents accessing the Project:
- Contact details (e.g. name, address, phone number, email)
- Demographic information (e.g. age, gender, ethnicity)
- Health-related information relevant to the Project
- Service usage data (e.g. attendance, engagement, outcomes)
- How Data Is Collected
Data may be collected:
- Directly from residents during registration or participation in the Project
- By the Partner Organisations delivering services as part of the Project
- By the Lead Organisation overseeing the Project
- By service referral from a third party with participant consent
- How Data Is Used
Data is used to:
- Deliver and improve the Project
- Monitor participation and health outcomes
- Evaluating the effectiveness and equity of access of the Project
- Report anonymised or aggregated findings to the Council
- Who We Share Data With
Data may be shared:
- Between the Partner Organisations for service delivery and coordination
- With the Lead Organisation for centralised monitoring and reporting
- With the Council, for local authority monitoring and reporting and where necessary, for the Council to fulfil its public health responsibilities
All data sharing is conducted under an appropriate data sharing agreement and in compliance with General Data Protection Regulation (UK GDPR) and legislation.
- Legal Basis for Processing
We process data under the following legal bases:
- Consent: where individuals have given clear permission
- Public task: where processing is necessary for the Council’s public health functions
- Legitimate interests: for service improvement and evaluation.
- Data Security and Retention
We take appropriate measures to protect personal data from loss, misuse, or unauthorised access. Data will be retained on file for 1 year after the Project is complete for the purposes outlined above and in accordance with legal and contractual obligations.
